Why bookings are lost at the end of the day
Most people think about their hair, nails or skin in the evening, on the couch, on their phone. That is also when your front desk is closed and your stylists are home.
They open your website, see a phone number and a contact form, and decide to do it tomorrow. Tomorrow, many of them forget, or book with the salon that let them pick a time on the spot.
A phone call at lunchtime is also hard for a stylist with foils in a client's hair. Calls go to voicemail, voicemails turn into playing phone tag, and the client gives up. Chat removes the phone tag entirely.
For appointment businesses the pattern is simple. Whoever makes booking easiest, at the moment the client is ready, wins the appointment.
Website chat turns your site into a front desk that never closes. The client asks a question, gets an answer, and picks a time without waiting for a callback.
What website chat can do for a salon or med spa
This is where a salon or med spa differs from many other businesses. Your price list changes with the season, your staff have different specialties, and your clients have strong preferences. All of that can be written down once and answered the same way every time. Chatdek answers from information you write in its knowledge base: your services, prices, durations, policies and hours. It does not guess. If something is not in the knowledge base it should say so and offer a person.
- Answers the repeat questions: which services you offer, how long they take, what they cost if you share prices, where to park, what to bring
- Books appointments inside the chat on Pro and above, with service, staff member (optional), date and time
- Shows only open times, based on your hours, service lengths, buffers between clients and staff time off
- Sends confirmation and reminder emails, for example 24 hours and 1 hour before
- Gives clients a link to manage their booking, and keeps a waitlist, which are included in every booking plan
- Saves new clients as leads with the whole conversation, and lets visitors ask for a person any time
How booking works for the client and for you
The client opens the chat and asks, for example, whether you do balayage and how long it takes. The assistant answers from your service details, then offers to book. They choose the service, a stylist or provider if you allow it, a date and an open time.
A good first week is simple. Add your five most booked services, your staff and their hours, and turn on automatic reminders. Book a test appointment yourself from your phone to see what a client sees. Fix anything confusing before you tell your clients.
They enter name, email and phone number and receive a booking reference. Nothing can be booked outside the hours you have set.
You choose whether each booking needs your approval or is confirmed automatically. A busy salon may prefer automatic confirmation. A med spa that needs to review each request may prefer approval.
Everything lands in one calendar in the portal, with month, week, day and agenda views. You can drag a booking to move it, and availability is checked again when you do.
Be specific about people, too. Clients often ask for a particular stylist or aesthetician. Add each person as staff with their own hours so the chat only offers times they can really take, and mention their specialties in the knowledge base.
Think about your busiest services and write a short entry for each: what it is, how long it takes, any preparation, and what to expect afterward. Clients ask the same ten questions again and again. Your answers will be shorter and calmer than a rushed reply between appointments.
Chatdek does not take payments for appointments. If you collect a deposit, explain how in your policies, and let clients know where to pay.
Cutting no-shows with reminders and easy changes
A missed appointment is an empty chair. A simple reminder message is one of the cheapest ways to protect your day.
Here is a small example, with made-up numbers. If late-night chat books 6 extra color appointments a month that would otherwise have gone elsewhere, at $120 each, that is 6 x $120 = $720 a month, or $8,640 a year. Your numbers will differ, and some months will be quieter. Try yours in the Missed Inquiry Calculator.
Reminder emails can be sent before each appointment, for example 24 hours and again 1 hour before, and you choose which emails go out. Because clients can manage their booking from a link, changing a time does not require a phone call.
Rebooking is the other half of the business. After a visit, a short note in your own channels can point clients back to the chat to book the next one. The chat is always open, so the client never has to wait for you to call back.
Reminders also help new clients feel looked after. A first-time visitor who gets a confirmation with the time, address and what to bring is more likely to turn up relaxed and on time. Write that reminder text with the same care as your website.
Try a simple routine for the first month. Each Monday, open the saved chats from the weekend. Note the three most common questions and make sure each has a clear answer in the knowledge base. Look at which services people asked about and did not book. A missing price or an unclear duration is often the reason.
Write your cancellation policy once in the knowledge base so the assistant gives the same answer every time. Clear policies reduce arguments later.

Med spas: keep medical questions out of the chat
Chatdek is a booking and information assistant for your website. It is not designed for medical information. Do not ask visitors to type health details, medications or photos into the chat.
Set the assistant's rules so that questions about suitability, side effects, treatment plans or anything clinical are not answered by the assistant. Instead, it should invite the visitor to book a consultation or ask for a person, where your qualified staff take over.
If you are unsure where the line is, ask your medical director or insurer. Chatdek makes no claim that it meets any health-privacy rule, so treat the chat as a place for general, public information only.
Keep the knowledge base to what a front desk would say publicly: services, general descriptions, prices, hours, location and policies. Anything beyond that belongs in a consultation.
Frequently asked questions
- Can clients book without calling?
- Yes. On Pro and above they choose a service, a time and enter their details inside the chat. They receive a booking reference.
- Can the chat take deposits or payments?
- No. Chatdek takes the booking and the customer's details, but it does not take payments for appointments.
- Is it safe for medical questions at a med spa?
- Chatdek is not designed for medical information. Set rules so clinical questions go to a consultation or a person, and keep health details out of the chat.
- Can I let clients choose their stylist?
- Yes. Add your staff and they can choose who they see, or you can leave it open.
- How do I work out if it is worth it?

- Does it work in other languages?
- Yes. The chat supports up to 16 languages, depending on plan: 2 on Starter, 5 on Pro, 16 on Agency and Scale.
