Why website leads go cold so fast
Most agents are good at the conversation and lose the lead before it starts. The work of an agent site is to turn an anonymous visit into a conversation, and to do it politely at any hour.
A buyer looks at a listing on your site at 10 p.m. They have one question: is the garage included, or can they see it this weekend? There is a contact form, and they might fill it in.
Often they do not. They look at the next agent's listing instead, which has a chat button. Whoever answers first tends to start the conversation.
Sellers behave the same way. Someone wondering what their home is worth rarely wants to pick up the phone first. They want a quick, low-pressure answer and a way to ask for a valuation when they are ready.
Speed is not the whole story. A name and email with no context is hard to follow up. A lead with the conversation attached tells you what they want before you pick up the phone.
That is the job of website chat for an agent: answer quickly, ask a few useful questions, and give you a lead you can act on.
What AI chat can do on an agent's website
Think of it as the first conversation you would have with anyone who walks in: friendly, informed and brief, then handed to you. Chatdek answers from the information you give it, such as your areas, fees, process explanations and the pages of your website. It should not invent details about a property it has not been told about.
- Answers questions about the areas you cover, how you work, your fees and the buying or selling process
- Captures names, emails, phone numbers and custom fields such as budget, as leads with the full conversation
- Labels conversations by what the visitor wanted: pricing, sales, booking, support or complaint
- Books viewings and valuations inside the chat on Pro and above, with agents as staff and offices as locations
- Lets visitors ask for a person, and on Pro and above lets an agent take over live
- Speaks the visitor's language, in up to 16 languages depending on plan
Capturing and qualifying leads with a few plain questions
Qualification is about priorities, not gatekeeping. Every honest inquiry deserves a reply. The questions help you decide who to call within the hour and who to nurture with a weekly email.
Qualifying does not mean interrogating. Three or four natural questions are enough to tell a casual browser from someone ready to move.
A few habits make qualifying work. Ask one question at a time. Let visitors skip a question. Explain why you ask, for example, that your agent will prepare for the call. People give details when they see a reason.
You can collect details before the chat starts with a pre-chat form, let the assistant ask during the conversation, or use both. Add custom fields for anything you need, such as budget range or timeline.
- Are you buying, selling or renting?
- Which area or neighborhood?
- What is your rough price range or property type?
- When do you hope to move?
- What is the best name and phone number or email?
Example only: what one extra lead is worth
- If chat captures 5 extra qualified leads a month
- and 1 in 20 of them eventually closes
- that is 5 / 20 = 0.25 closings a month, or 3 closings a year
- At a $9,000 commission per closing, 3 x $9,000 = $27,000 a year
- Use your own close rate and commission. Many months will produce nothing.
Viewings, valuations and handing over to you
Think about the sellers too. A valuation request is one of the most valuable leads an agent receives. Give it its own service, with a longer duration, so your diary reflects the time it takes.
On Pro and above, a visitor can book a property viewing or a seller valuation inside the chat. Add each service, set your agents as staff and your offices as locations, and the chat offers only open times.
You choose whether to approve each request or confirm automatically. Many agents approve manually, so they can check the diary and the property before confirming.
Follow-up speed is the habit that decides whether chat pays off. Check new leads first thing in the morning and after lunch, and call the ones who asked for a viewing before anyone else. A lead you reach within hours is a conversation. A lead you reach in three days is a cold call.
Set expectations in the chat. If your team replies within a few hours on weekdays, say so, and add a phone or WhatsApp option for people who want a quicker answer. Honest timing builds more trust than a promise you cannot keep.
Serious inquiries should reach a person quickly. Your agents are notified in the portal, by push or by email, and can take over the live conversation from the Human Handoff inbox.
Each lead remains in the portal with its full conversation, tags and notes. CSV export is on Pro and above, and the lead pipeline and import are on Agency and above.

Keep it accurate and fair
Real estate is regulated, and your chat speaks for you. Your brokerage may have rules for advertising and for what staff may say about a property. Follow them here too.
Treat the assistant like a new front-desk hire and give it clear rules.
Chat is not a replacement for you. It is the first hello, and you are the second.
Do not let it describe a property beyond what you have told it. Add an instruction to refer anything about price negotiations, legal terms or financing to an agent. List topics to avoid, and say how it should hand off.
Accuracy matters most for time-sensitive facts such as availability, open house dates and fees. Either keep those entries current or leave them out and point visitors to a person. An outdated answer is worse than no answer.
Check the assistant's answers regularly. Open the saved chats each week, look for answers you would have phrased differently, and fix the knowledge base entry behind them.
Fair housing rules apply to how you talk about neighborhoods and who a home suits. Do not write knowledge base entries that steer buyers by protected characteristics. Read the federal Fair Housing Act overview from HUD and have your broker review your wording. The SBA also publishes general guidance on marketing your business.
