Where the AI is stronger
It does not sleep, queue or forget. At 9 p.m., at lunch or during a rush it answers the same way. It can serve many visitors at once and in many languages, and it records every enquiry so nothing is lost.
Where a person is stronger
People read tone, make exceptions and calm upset customers. They handle cases nobody wrote down. An AI receptionist should recognise those moments and hand over rather than improvise.
The setup that works
Let the AI answer first. Set clear hand-over rules: a visitor asks for a person, or mentions a complaint, a refund or a legal matter. Have someone assigned to take over live chats, and a message form for when nobody is online.
- AI: questions, bookings, lead details, after-hours cover
- Person: complaints, negotiation, sensitive cases, closing high-value deals
A note on honesty
A visitor should always be able to tell they are talking to an AI, and to reach a person. That builds trust and is the right way to run it.
